Microsoft Outlook Deleted Items Policy

Due to storage requirements on our Microsoft Exchange (email) server, the Financial Affairs Information Systems Support Group will be implementing a new policy that will affect each FA mail user. Please review the following policy and let us know if you have questions. Effective February 1, 2007, all items in your Microsoft Outlook Deleted Items folder which are more than thirty days old will be automatically deleted on a nightly basis. This will permanently delete all email messages that have been inside your Deleted Items folder for over 30 days. Your Deleted Items folder is located in Microsoft Outlook under Mailbox – (Your Full Name). These items cannot be restored under normal circumstances; therefore it is critical to delete only the items that need to be permanently deleted. If there are items in your Deleted Items folder which need to be retained, please move them to another Outlook folder before January 31, 2007. Items kept in other folders will not be deleted. Items kept in your local Deleted Items folder that are in the Archive Folders section will not be deleted as these are located on your local PC. By implementing this policy we will be able to recover storage space on our Microsoft Exchange server which will be a long term cost savings to the division.
